Where the time goes

Your team already uses AI. The repeat work is still manual.

In most small teams AI is a chat box: paste something in, explain it again, fix the answer, copy it out. The routine around each task stays manual. Three ordinary moments:

  1. Monday, writing quotes

Every quote starts from a blank chat.

    Without a setup

Paste the job notes, explain the format again, fix the tone, then copy the result into the quote. The same setup work happens every time, on every task.

    With a Fiberhand setup

A saved workflow already has your format, terms and reference material. Notes go in, a draft comes out ready to check. Nothing to set up each time.

  2. Tuesday, after a client meeting

The notes wait until someone has time.

    Without a setup

Typing up the meeting, drafting the follow-up and updating the job list happen one by one, by hand, often days later.

    With a Fiberhand setup

One workflow turns rough notes into a summary, a follow-up draft and a task list. Internal steps can run on a schedule; anything for the client waits for a person’s OK.

  3. Two weeks after signing up

The subscription is paid. Nobody knows what it saves.

    Without a setup

Nobody picked which tasks are worth handing to AI, so it stays a fancier search box and the time it saves is a guess.

    With a Fiberhand setup

Hands-on training on your own tasks, then a check after two weeks with three tasks timed before and after, so you can compare the results.

Fictional moments, for illustration. Built in the AI tools your team already uses.

Team AI Setup · what’s included

Six parts, built around your team’s real work.

No generic course and no new platform. The same AI performs very differently depending on how it’s set up around the work, so the setup starts from the tasks your team repeats every week and ends with those tasks running as tested workflows.

  • 01 · Task review

    Your real tasks, picked first

A short session to list the writing and admin your team repeats every week, such as quotes, customer emails, job notes, reports and posts. Up to 10 are chosen to start.

  • 02 · Accounts

The right AI accounts, set up properly

Built in the business plan you already pay for, such as ChatGPT, Claude, Gemini or Copilot. If there isn’t one, one plan is recommended. Data and training settings are checked for your plan.

  • 03 · Workflows

    Saved, shared AI workflows

Each chosen task becomes a saved assistant in your AI tool, with your reference material built in. Where your plan supports it, it can read the files it needs, and simple internal steps can run on a schedule. Anything going to a customer waits for a person to approve it.

  • 04 · Rules

    One page of AI rules

Plain English: what can go in, what stays out, which work always gets a human check, and what to tell customers.

  • 05 · Training

Hands-on training on your own work

A working session, in person in Sydney or online, where everyone runs the library on real tasks. No slide deck. A short written guide stays with the team.

  • 06 · Check-in

    Measured after two weeks

Three tasks are timed before and after. Workflows nobody uses get fixed or dropped, and you see plainly what changed.

Not sure which tasks to start with? List what your team writes most often. The reply says plainly which ones are worth building.

The hidden cost

The real cost of AI is the back-and-forth.

A one-off chat rarely fails outright. It gets close, then needs one more message, then another. Each round feels small. Together they are the cost nobody tracks.

One-off chat

  1. Ask
  2. Explain again
  3. Fix what slipped
  4. Add context
  5. Fix what slipped
  6. Use it

5 messages. Each fix risks undoing an earlier one.

Saved workflow

  1. Ask
  2. Use it

Illustration: 1 to 2 messages. Clear instructions can reduce follow-ups, but results still need checking.

Count the first ask and every follow-up.

Illustrative value of time saved

A$5,520a year

About 2.7 hours a week across the team, 123 hours a year, and 3,680 fewer messages to the AI.

A scenario, not a forecast or cash saving. Actual results depend on the task, tool and review time; setup and subscription costs are not deducted.

Send 3 tasks, get a plan back

Scenario assumptions (not measured client results): people × tasks a week × messages saved per task × 46 working weeks. A saved workflow is counted as 2 messages per task, each round saved as 2 minutes of reading and retyping, and an hour of time as A$45. Your numbers stay in your browser.

Team AI Setup · questions

Before you let AI near your work.

We already pay for ChatGPT or Copilot. Is this another tool?

No. The library is built inside the tool you already have. If there isn’t one, one business plan is recommended, and you pay for it directly, with no markup.

Can’t we just set this up ourselves?

You can. The work is in picking the tasks worth saving, testing each workflow on your own examples until it holds up, writing rules people actually follow, and setting up the steps that repeat so nobody retypes them. That is what the setup does.

What is an AI workflow, in plain terms?

A saved, tested way of doing one job your team repeats. Instead of starting from a blank chat, someone picks “Quote follow-up”, pastes their notes, and gets a draft in your house style, the same way every time.

Will it automate work, or just write drafts?

Mostly better drafts, plus some simple automation where your tool supports it. Internal steps, such as filing notes or a weekly summary for your own team, can run on a schedule. Anything that goes to a customer waits for a person’s OK, and the written scope lists what runs automatically.

Is it safe to put customer details into AI?

Not by default. A business account helps, but on its own it doesn’t make customer data safe. Before any customer information goes in, the tool’s terms and its access, retention and sharing settings are checked against your AI rules. Setup starts with examples that have names and contact details removed, and free or personal accounts are never used for customer details.

What if the AI gets something wrong?

Everything it writes is treated as a draft. Workflows are tested on your own examples first, and the rules say which work always gets a person’s check before it goes to a customer.

Who is the training for?

Everyone who will use it, including people who have never used AI. It’s run on your own tasks, in person in Sydney or online, and a short written guide stays with the team.

Which AI does it use?

Business plans of tools such as ChatGPT, Claude, Gemini or Copilot, chosen for your tasks and set up in your own accounts.

Get your team using AI properly.

Starting takes one short email, answering three things:

  1. What kind of business you run
  2. How many people would use AI, and which tools you have now
  3. The three tasks that take the most time

Yutong replies personally: which tasks are worth building, and a written price. Nothing is charged until you agree a scope. Leave out customer details. Interested in the Enquiry Desk instead? Email about the Enquiry Desk.
